Marketing for medical, dental and therapy practices

Today, marketing for medical practices is rarely about winning more patients. It is about reaching the right patients and taking pressure off the team. We build your practice website, connect online appointment booking and help you find medical assistants and therapists.

The phone rings non-stop from the start of consulting hours, and prescription requests and appointment questions pile up at reception. The website still shows the old consulting hours. The job advert for a medical assistant has been online for months without anyone getting in touch. Online reviews go unanswered because nobody is sure what may be written under medical confidentiality.

We take pressure off reception. Appointments, prescription orders and medical history forms run online and end up where your team needs them. The website answers the most common questions before anyone calls. For recruitment, we show your team and your working conditions honestly. We write all texts with the Heilmittelwerbegesetz (German law on advertising for medical services) and professional rules in mind, and the data is stored on servers in Germany.

What practices must consider in advertising and digitalisation

Heilmittelwerbegesetz: what is allowed

The Heilmittelwerbegesetz (German law on advertising for medical services) governs how treatments, procedures and medicines may be advertised. It applies equally to doctors, dentists, therapists and Heilpraktiker (state-licensed non-medical practitioners). Among other things, it prohibits misleading promises of a cure and, for surgical cosmetic procedures, before-and-after images. Factual information is permitted and useful: which services you offer, how a treatment works and who it is suitable for. We word your texts with appropriate restraint and precision. This does not replace legal advice. In borderline cases you should ask your professional chamber or a law firm specialising in medical law.

Professional rules: inform factually instead of promoting

Doctors, dentists and psychotherapists are also bound by the professional codes of their chambers. These allow factual, profession-related information and prohibit advertising contrary to professional standards, that is, promotional, misleading or disparagingly comparative statements. You may state titles, qualifications and areas of focus if they are accurate. Phrases such as “best practice in town” or discount promotions, on the other hand, are risky. Physiotherapists and other providers of therapeutic services have no chamber of their own, but must equally observe competition law and the Heilmittelwerbegesetz. Good practice marketing therefore works through clarity, friendliness and accessibility, not superlatives.

Introducing online appointment booking properly

Appointment booking only takes pressure off if it fits your processes. Beforehand we clarify which appointments patients may book themselves, such as check-ups, follow-up appointments or first treatments in physiotherapy, and which continue to go through the team. Fixed slots for acute cases, automatic reminders by text message or email and easy cancellation are important. Many manufacturers of practice software offer interfaces to booking systems, and the choice depends on that. Health data is specially protected under the General Data Protection Regulation (GDPR). The booking form therefore only asks for what is really needed for the appointment.

Recruitment: why medical assistants have to be found differently

Medizinische Fachangestellte (medical assistants, MFA) are among the most sought-after professions in healthcare. Traditional job adverts mainly reach people who are actively looking, and there are few of them. It is more effective to approach skilled staff open to a change where they already are: on social media, with targeted ads in the area around the practice. What matters is what you show: duty roster, salary range, team atmosphere, further training, perhaps a four-day week. Applying must be possible by phone in a few minutes. And the response should come within a day, otherwise the applicant has long since accepted elsewhere.

Questions from medical practices, dentists and therapists

How much does a practice website cost?

At Trendtreiber, a complete practice website with a content management system, so you can update consulting hours and news yourself, usually costs between €12,000 and €35,000. A single page, for example for a job advert or a new service, starts at €4,000. A photo shoot of team and premises starts at €890. All prices are guide prices, net, plus VAT. After the free initial consultation you receive a fixed-price quote.

Is a medical practice allowed to advertise at all?

Yes, medical practices may advertise as long as the information is factual, accurate and not misleading. The professional codes of the chambers only prohibit advertising contrary to professional standards, that is, sensationalist, promotional or disparagingly comparative statements. The Heilmittelwerbegesetz additionally restricts how treatments may be talked about. A well-made website, a well-maintained Google Business Profile, job adverts and factual posts on social media are therefore entirely possible.

How do I reply to a bad review without breaching medical confidentiality?

Reply factually and in general terms, without confirming that the person was treated by you. Even a sentence such as “We remember your visit” can touch on confidentiality. A proven approach is a short thank-you for the feedback, a general note on your procedures and an offer to continue the conversation by phone. You can report reviews containing false statements of fact to the respective portal.

Is online appointment booking worthwhile for small practices?

Yes, small practices in particular benefit, because often only one person sits at reception. Every appointment booked online is one call fewer during consulting hours. Automatic reminders also reduce missed appointments. It makes sense to start step by step with a few appointment types, such as check-ups or follow-up appointments, which the team extends later once the system has proven itself in daily use.

Where is our patients' data stored?

With solutions we set up, the data is stored on servers in Germany, with encrypted transmission and backups in two separate locations. Forms only ask for what is really necessary, because health data is specially protected under the General Data Protection Regulation (GDPR). A data processing agreement is concluded with all service providers involved. For emergencies there is a documented contingency plan so that the practice can keep working even in the event of an outage.
